Choose Fireflies if…

Evaluate Fireflies when team conversation search and connected follow-up are priorities.

The short answer

Otter and Fireflies turn conversations into material you can revisit and act on. The buying decision should include how meetings are captured, how a summary is checked and where the next actions go. Both vendors now describe capabilities beyond simple transcription. We recommend evaluating them with your real meeting formats and follow-up process rather than choosing from an isolated accuracy claim.

Test a normal meeting, not a perfect recording

Use an authorized sample that resembles your actual calls: several speakers, product terminology and a few interruptions. Tell participants what is being captured and follow your organization’s rules. A quiet, single-speaker demo is unlikely to reveal the problems your team encounters.

Compare the transcript with the recording at the moments that matter: a decision, a commitment and a deadline. Then examine whether the summary preserves the meaning. A polished summary is not automatically correct, and an action item assigned to the wrong person can create more work than it saves.

Capture methods and downstream work

Otter publishes desktop, mobile and browser capture, including a desktop route without a meeting bot. Fireflies describes meeting-bot capture, a Chrome extension, desktop and mobile apps, plus audio or video uploads. Both offer summaries and follow-up capabilities, so a comparison that assumes either only works by joining a call is incomplete.

Test the method your participants can actually use. A company that restricts installed apps may need a different route from a team that dislikes a bot in external calls. Then check whether the important action reaches its destination with the correct owner. A searchable transcript is useful, but it does not by itself make the follow-up process reliable.

Evaluate the follow-through

Both vendors publish search, summaries and follow-up capabilities. Ask a teammate to find an answer from a previous meeting and verify it against the source. Check whether a resulting task or CRM update contains enough context to be useful outside the meeting tool.

Treat connected actions as a separate part of the trial. Confirm what is automatic, what requires review and which plan supports the destination app. The most valuable outcome is often a reliable handoff, not the longest list of AI features.

Make access and retention part of selection

Decide which meetings should be recorded, who can view them and how long records should remain available. Review the vendor’s current account controls and your own internal requirements. An assistant that joins too broadly can create an unwanted archive of sensitive conversations.

Our recommendation is to choose the product that performs acceptably on your meeting style and fits the team’s follow-up habits. Keep human review for important commitments. Start with a small group, confirm the workflow, then decide whether wider deployment is worthwhile.
